Overview

Our UXD team began a redesign of the entire B2B invoice management system with the vision of becoming the next logistic cost management Platform.

Lenovo heavily relies on logistics services for delivering and returning computers/devices to customers. Managing these costs can be a significant challenge. Our goal is to optimize the logistics cost platform, making it easier to track, monitor, and manage costs for each shipment.

Research

In taking a holistic view of this project

Our target users are the members of the Finance team. While we don't have overly detailed project management requirements, our engineers have already initiated the project. A pre-MVP version has been launched, and users are actively using this version for their work processing needs.

After reviewing the requirement list, I had some questions and sought clarification from a senior designer for additional context and user feedback.

Users find it difficult to use the current management system

  1. A confusing format and a lack of instructions, providing a clear description of the problems.

    User confusion during navigation and the need for clearer indications within the system. It provides a clear understanding of the problems.

Insights

Redesign the file upload feature for a more spacious and user-friendly experience, allowing greater flexibility in the uploading process.

Clarify the visual hierarchy based on how users process their daily work orders. It's clear and to the point.

File upload redesign

Users found it inefficient to navigate through multiple folders to select files. To improve file uploading efficiency, I introduced a drag-and-drop feature that allows users to upload one or multiple files simultaneously.

While interviewing users, I discovered that their work consists of two primary tasks: uploading files and exporting CSV documents. To enhance navigation, I reorganized the interface by categorizing tasks on the left based on user workflow.

File upload progress

Users couldn't track the progress of file uploads, leading to frustration and uncertainty in case of upload failures. Additionally, they lacked the ability to remove files once the upload process was complete. To address these concerns, I designed a progress bar for real-time upload tracking and added a delete functionality, providing users with greater control over their data and content.

FIELD SELECTION REDESIGN

Field selection redesign

Previously, users had difficulty selecting and modifying tokens in Excel sheets due to limited space and unclear representation. In the redesign, we prioritize enlarging the area and highlighting each field to improve readability, accessibility, and user engagement.

I implemented an automatic transition from file upload to file export after users finish uploading Excel sheets. In this section, users can perform field selection. Following user feedback, we identified a use case where unused fields appeared in the module, requiring users to select the token and then click the delete button below to remove the unneeded field. To enhance this user experience, I added an 'x' button to each token, allowing users to delete tokens without the need for prior selection.

Users can manually enter useful field information into the text box and click 'Add'.

Final design and feedback

I conducted another round of user testing with the updated design, involving two users due to time constraints. The users expressed enthusiasm and excitement about the new design.

While our design team and finance team are satisfied with the outcome, we recognize the importance of gathering substantial data and feedback to validate our design decisions before making further investments in this project.
